POSITION OVERVIEW:
The Senior Manager of Revenue Operations is a strategic leadership position that ensures the accuracy and timeliness of daily fundraising revenue and data input, as well as the reporting of receipts to WETA Finance for monthly reconciliation. This detail-oriented role requires close collaboration with multiple WETA fundraising teams and Finance, as well as managing relationships with external vendors. The Senior Manager is responsible for staying current with industry trends, technology advancements, and best practices. Key responsibilities include strategic planning, budget management, daily problem solving, and workflow optimization. Additionally, the Senior Manager partners with Finance to reduce monthly reconciliation close times and oversees high-performance results from two direct reports.
PRIMARY RESPONSIBILITIES:
- Lead, manage, and supervise the daily workflow of the Data Processing team, with a focus on back-office management of the sustainer giving program.
- Ensure accurate and timely processing of Engaging Networks data, special funds payments, and online sustainer updates received in response to outbound marketing efforts.
- Oversee the accurate input of daily fundraising receipts from various channels, including response processing vendors, online platforms, e-marketing, third-party sources (e.g., workplace giving), in-house checks, wires, and other inflows. Ensure the resolution of pending API queues.
- Manage the completion of all quality control procedures, including weekly, monthly, annual, and ad hoc file reviews.
- Serve as the primary point of contact for external vendors (e.g., Moore, Worldpay, Stripe), ensuring effective collaboration and issue resolution.
- Stay informed about new technologies, industry trends, and best practices in payment and revenue processing. Initiate and collaborate on improvements with internal and external partners.
- Act as the top internal expert on payment processing, leading efforts to explore and support new giving methods and technologies. Provide technical support for new marketing initiatives aimed at increasing revenue.
- Lead efforts to identify and address processing and data anomalies, especially in sustainer payment processing, to prevent income loss.
- Ensure the timely and accurate processing of contributions from America’s Charities, CFC, and other workplace giving programs. Conduct quality reviews of keyed or uploaded work.
- Hire, supervise, train, manage, and evaluate the work of the Revenue Processing Reconciliation Specialist and Revenue Processing Associate, ensuring compliance with all WETA policies and data handling protocols.
- Lead quality control efforts from data entry into the database of record to secure back-end handling of files in accordance with WETA’s document retention policies.
- Partner with the Corporate Controller and General Accounting team to support the monthly financial close process, including reconciliation of fundraising revenue to the general ledger, resolution of posting variances, and timely delivery of revenue data required for period-end close.
- Support annual external audit activities by preparing and delivering revenue-related audit schedules, responding to auditor inquiries, and ensuring that revenue processing documentation meets audit standards. Serve as a key liaison between Revenue Operations and the external audit team on matters related to contribution revenue, donor data, and payment processing controls.
- Maintain working knowledge of the organization’s enterprise resource planning system and revenue-related system integrations, ensuring accurate and complete flow of fundraising revenue data from source systems into the general ledger. Collaborate with Finance and systems administration on configuration updates, reconciliation workflows, and process improvements that affect revenue reporting.
- Ensure that all department practices are well-documented and up-to-date.
- Perform related special projects or other duties as assigned.
CORE COMPETENCIES:
- MS Depth of knowledge of non-profit contribution processing, sustainer giving, and management.
- Experience with backend credit card and EFT processing environment; direct experience as the key contact with card processor account managers preferred.
- Demonstrated understanding and application of computer technology to accomplish work, using Microsoft Office programs (intermediate Excel proficiency a must) and relational database management software. Familiarity with ROI Solutions/Revolution CRM, Engaging Networks and other database management skills highly desired.
- Experience working across the aisle with a Finance team to accurately and quickly reconcile receipts; understands the needs and demands teams across the aisle with multiple revenue generating and reporting teams
- Excellent organizational and time management skills.
- Positive attitude with strong customer services skill set and values.
- Excellent interpersonal and communication skills; strong verbal and writing skills a must. Ability to interact with a wide variety of people using diplomacy, tact and discretion.
- Demonstrated ability to effectively organize, lead and communicate with others in an atmosphere of multiple projects, shifting priorities and deadline pressures.
ADDITIONAL SKILLS AND QUALIFICATIONS:
- Minimum eight years of management-level experience in data processing/data entry environment in a non-profit fundraising environment with a multi-channel marketing approach, or equivalent experience in the private sector.
- Proven record of accomplishment for quickly and efficiently handling multiple data entry and processing duties on multiple platforms under daily deadlines.
- Experience in departmental budget management desired, not essential.
- Minimum of one year of supervisory experience, including hiring, training and evaluation of employee work
